1. Our Commitment to Privacy

Your privacy is important to us. To better protect your privacy we provide this notice explaining our online information practices and the choices you can make about the way your information is collected and used. To make this notice easy to find, we make it available on our homepage and at every point where personally identifiable information may be requested.



2. The Information We Collect:

We need to collect personal information about you and your health in order to give you the best possible treatment. In effect you (requesting treatment) and us (providing treatment) constitutes a contract, and although you can refuse to provide information, we may not be able to treat as a result. Our legitimate interest is so that we can do our job safely, Your legitimate interest is that we may contact you to confirm appointments or provide you updates or information relevant to your medical care.

We have a legal obligation to retain your records for 8 years after your most recent appointment (or age 25, if this is longer), after which time you can ask for your records to be deleted. Otherwise we will store them safely indefinitely.

Your paper treatment records are stored on site (an old bank building) within a locked filing cabinet. The building is locked outwith working hours. Additional electronic information (eg doctors letters or contact information) is stored on a password protected desktop computer, with additional phone numbers and occasionally communications via email on a password protected work phone.

In the cases where paper files have to be moved to a remote site for treatment in an associated clinic, the guidance on data transport will be strictly adhered to.

The types of personal information collected will include:

Name
Address
Email address
Phone number
Medical case history information


The Information We DONT Collect:

Credit/Debit Card or bank information



3. The Way We Use Information:

We use return email addresses or telephone contact to answer the emails or phonecalls we receive. Such information may also be used to convey messages regarding treatments, whether to confirm or change appointment times or as a checkup following treatment. Therefore, from 25th May 2018, whether a new or existing client, you will be asked to complete a short and clearly worded consent form detailing how we use your data.

Contact details are not currently used for any other purpose and are not shared with outside parties without your expresssed consent.

You will soon be able to register with our website via email if you would like to receive information as well as updates on our new products and services. Information you submit on our website will not be used for this purpose unless you fill out the registration form.

Finally, we never use or share the personally identifiable information provided to us online in ways unrelated to the ones described above without also providing you an opportunity to opt-out or otherwise prohibit such unrelated uses.



4. Our Commitment to Data Security

To prevent unauthorized access, maintain data accuracy, and ensure the correct use of information, we have put in place appropriate physical, electronic, and managerial procedures to safeguard and secure the information we collect both in the clinic and online, in accordance with GDPR guidelines.



5. Our Commitment to Children's Privacy:

Protecting the privacy of the very young is especially important. For that reason, we never collect or maintain information at our website from those we actually know are under 16, and no part of our website is structured to attract anyone under 16 (the self-certification age in Scotland).



6. How you can Access or Correct your Information

You can access all your personally identifiable information that we collect online and maintain by calling Gareth or sending us an email. We use this procedure to better safeguard your information.

You can correct factual errors in your personally identifiable information by sending us a request that credibly shows error.

To protect your privacy and security, we will also take reasonable steps to verify your identity before granting access or making corrections.
